Considerations for Planning a Corporate Event

Wednesday, February 29th, 2012

corporate eventsRead about some of the major considerations for planning a successful corporate event — especially if you are planning for a large corporation.

Planning a corporate event can be a daunting task, but establishing all the relevant information will help us to tailor your corporate event to your exact needs.

What is the reason for your corporate event?  Is it to bring different teams together to bond through teambuilding, reinforce a company message, launch a new product or service, hold skills workshops, or to reward your employees with a fun day out?  Once the reason is clear we can then work out venues and events that suit your requirements.

How many delegates will be attending?  Whether it’s a handful of employees attending an on-site team building event or a thousand-strong conference, we can handle the sourcing and booking of venues, hotels and conference centres.

Who is invited? Is the event just for employees or can they bring their partners along?  Would you like to invite clients and potential customers?  Once you have decided who your corporate event is for, you can work out when the best time to stage it will be.  Working around clients schedules and factoring in your own calendar, along with other potential issues such as school holidays.

Consider logistics?  Do you want a venue nearby or would you prefer to visit a different city or country even?  Do you have delegates coming from overseas or different parts of the country who will require overnight accommodation? A venue with convenient parking or close proximity to rail or tube networks may need to be considered.

Is there a theme? Will you require your venue to be decorated a certain way?  Will you be inviting guest speakers, after-dinner talkers, or entertainment such as live music or a DJ.

Is there a dress code? Your delegates need to know if they are required to wear casual clothes, work attire or black tie?

What do you want the delegates to get out of your corporate event?  Is it going to be purely professional or do you want a fun and informal element to your event?

What equipment will you need? Sound and lighting equipment for speakers, whiteboards and pens for workshops, overhead projectors and screens, extra seating and tables?

What are your catering needs? Will you want on-site catering: a buffet or light refreshments?  For larger events would you prefer outside caterers or a restaurant booking?

Do you want to merchandise your event?  Goodie bags or stationery with company logo, different coloured t-shirts for team building events, or rewards and prizes.

Consider Timing.  Make sure that your event doesn’t clash with anything local that may disrupt travel plans, accommodation etc. such as the Olympic Games or other major sporting event.  Ensure that your event isn’t held at the same time as another similar industry event or in the same locality as another large corporate event.  Give your delegates plenty of notice of your event date so they can plan accordingly.

Conference Energisers: Banish The Boring From Your Business Event

Sunday, February 26th, 2012

conference energisers and corporate eventsNo matter how hard companies try, business conferences are often considered to be boring and ineffective by its employees. Read how conference energizers can turn your boring corporate event into a fun, productive experience for your entire company.

Bringing together your employees for a conference is a great way to communicate your business message to your entire workforce.  Whether this is a small team of 20 or so people, or many thousands of employees scattered across the country, bringing everyone together under one roof makes practical sense when you need to address your staff.

However, conferences can be dull.  Delegates often dread them, fearing that they will have to spend the day in an uncomfortable chair being talked at, or be made to watch power point presentation after presentation until they feel they need matchsticks to prop their eyes open.

conference energiserBut, conferences need not be like this, by using conference energisers you can break up the day with some fun and informal segments.  Not only will these, as the name suggests, liven up proceedings and ensure that no-one drops off during the accounts presentation, they are also a great way to break the ice between the delegates and the conference organisers, as well as introduce different employees to each other.

Delegates who are enthused by a conference are more likely to go away remembering your important key messages and feel inspired once back at their workspace.

Conference energisers can be used in many different ways, from an ice breaker at the beginning of a conference, to a way to enforce a particular brand message via a fun game show or music based team building event.

The time period of the conference energisers is entirely up to you.  They can be anywhere from 10 minutes to 90 minutes—whatever you feel best suits your company needs and gives the maximum benefit to your delegates.  Two of our most popular conference energisers are the HAKA and Junk Funk .

There are always certain points in the day where spirits and attention may wane.  After lunch is often a time where, with full bellies, delegates can feel a little sleepy, this is a great time to introduce an energiser to get everyone back on board and ready to start again.

The final couple of hours of a conference can drag, with delegates checking their watches and willing it to end.  Information overload can occur and the tendency for minds to wander is high.   A fun energiser such as a music based conference energiser towards the tail end of your conference can really reinforce your message and leave your delegates feeling positive and inspired and sure to remember the conference for years to come.

Reasons to Have Corporate Events Out of London

Monday, February 20th, 2012

team building outside of London during the olympicsThis summer will see London host the Olympic Games and the Queen’s Diamond Jubilee.  These events will draw huge numbers of tourists but have a devastating knock-on effect on the already struggling infrastructure of the capital.

Hosting corporate events anywhere in London over the coming months could prove to be a logistical nightmare if you are trying to bring together people from around the country.  However, taking your team out of London makes perfect sense during this busy period, and hosting an event elsewhere in the country, or even overseas, can often be a smart move for your business at any time.

Some of the benefits of staging a corporate event outside of London include:

Accessible Locations – if you need to bring together people from around the UK, it makes sense to have your event in a location that is easily accessible to everyone concerned, be it by rail, road or air.

Historical and Scenic Settings – choosing a place of historical interest or somewhere of outstanding natural beauty will add another dimension to your event and can be incorporated into your tailored event.

Cost - venues, hotels and restaurants are generally much cheaper outside the capital meaning much more for your budget, particularly useful if you have a large number of attendees.

Outdoors – taking your team away from London means that you can pick a venue with plenty of space to take part in some of our great outdoor team building events or participate in country pursuits.

Camaraderie – taking your staff away from the office and their usual environment is a great leveller; a corporate event that requires an over-night stay in another city will be remembered and talked about for years.

Evening Events – you can stage some great fun and informal evening events, from team games to race nights, which will really bring your team together and give them a night to remember.

Size – if you require a large venue that needs to host a lot of delegates, going out of London will give you a better choice of suitable venues.

Conferences – most sizeable conference centres are located outside of London

International Events – if you need to bring employees together from around Europe or further afield, it could prove to be more cost effective to hold the event in another country.

Raising Profile – hosting an event outside of London could help to raise the profile of your business and introduce you to new clients in different locations.

At Accolade we offer a wide range of corporate events to suit every occasion and these can be tailored to your specific needs.  With no ties to chains, we can make sure we find the most ideal venue for you at the right location—the right facilities at the right price for your conference or event.
